Recording a payment

Getting paid should be quick and painless. In Barkway, you can add any kind of payment (cash, bank transfer, card, or deposit) directly from the View Booking page. This keeps your invoices up to date and your reporting accurate — without leaving the booking.

Step-by-step​

  1. Open the booking Go to the booking where you’ve received payment. From the Bookings list or calendar, click the booking to open its details page.

  2. Click Record Payment In the Payments section, hit the bright Record Payment button. This slides out the payment drawer.

  3. Enter the payment details

  • Amount – How much was paid.
  • Method – Choose the payment type (Cash, Bank Transfer, Card, etc.).
  • Received at – Set the payment date and time (defaults to “now”).
  • Reference (optional) – Add a note or transaction ID for your own records.
  1. Save Click Record Payment. Barkway will:
  • Add the payment to the Payments table.
  • Update the invoice status automatically (e.g. from Unpaid → Partial → Paid).
  • Adjust the Remaining Balance in the Price Breakdown instantly.

Deposits you record while creating or editing a booking also show up here as payments with status Completed. Currently, deposits can only be created from the Edit Booking view, not from this drawer.

Extra features​

  • Refund a payment If you need to refund all or part of a payment, click the small ↺ Refund icon on the payment row. A refund drawer will open (see Issuing a refund).

  • Invoice updates automatically You don’t need to manually mark invoices as paid — Barkway does it the moment your payments meet the total.

  • Any groomer can record Right now, all groomers can add and refund payments. Role-based restrictions may come later.

Pro tips​

  • Always select the correct payment method — it keeps your reporting and end-of-year totals accurate.
  • If you take a deposit, record it when creating or editing the booking so it shows correctly in the balance.
  • You can backdate a payment by editing the Received at field — handy for catching up after a busy day.
